Position Summary
Responsible for overseeing the end-to-end production process of video and photo shoots, ensuring the highest quality and brand standards are met while adhering to project timelines and budgets. Key responsibilities include capturing our resort experiences accurately, creating content that represents our owner and guest demographics, and capturing destination activities and unique attributes in compelling visual representations. This role tracks and manages the production of our assets across all VO brands to ensure the highest quality photography and video is captured by securing approved vendors, managing usage rights documentation, and ensuring all assets are delivered in a timely manner. This role is responsible for managing projects to a pre-determined budget and adjusting to an annual budget on a case-by-case basis.
Expected Contributions
- Manage all aspects of video and photo shoot production, from pre-production planning to post-production activities.
- Create a 3-year capital plan including planned refurbishments, new products, and marketing needs.
- Follow brand standards of all VO brands to create unique and stylized assets in photo and video.
- Use approved resources as required by the appropriate brand.
- Develop and maintain project schedules, ensuring adherence to deadlines and efficient resource allocation.
- Collaborate with internal teams, including creative directors, photographers, videographers, and stylists to understand project requirements and objectives.
- Coordinate logistics, such as location scouting, casting, crew selection, equipment rental, and budget management.
- Lead a team of contract producer or internal staff members in providing guidance and support throughout projects.
- Delegate tasks and responsibilities effectively, ensuring efficient workflow and optimal utilization of team members' skills.
- Foster a positive and collaborative work environment, promoting creativity, innovation, and continuous improvement within the team.
- Develop and manage annual capex budget as well as project budgets, tracking expenses and ensuring cost-effective production processes and reporting to senior leadership.
- Source and negotiate contracts, estimates, and invoicing with vendors, freelancers, and other production-related service providers.
- Secure necessary insurance permits and releases for shoots.
- Optimize resource allocation, including crew members, equipment, and facilities, to ensure efficient and cost-effective production operations.
- Develop and maintain annual capital content budget; conduct monthly reviews with Finance and senior management to provide updates and forecasting to ensure adherence at- or below- approved bottom line.
- Maintain the highest standards of quality throughout the production process, ensuring adherence to brand guidelines and creative vision.
- Conduct regular reviews and quality checks of footage, images, and other deliverables to ensure they meet project requirements.
- Collaborate with post-production teams to ensure seamless integration of video and photo assets into final deliverables.
- Communicate and collaborate effectively with internal stakeholders, including clients, creative teams, and marketing departments, to understand their needs and objectives.
- Provide regular project updates and reports to stakeholders, addressing any concerns or issues promptly and professionally.
- Manage client relationships, ensuring their satisfaction and fostering long-term partnerships.
- Manages photo and video vendor selection, relations, contracts, budgets, and payments.
- Works with brand team to secure marketing briefs and document project requirements.
- Follows SOPs and applies them consistently.
- Builds strong relationships across functional teams built on respect and trust.
- Manages project schedule templates in workflow system.
- Follows review processes to ensure quality, consistency, brand standards, and legal compliance.
- Uses tools that capture, evaluate, and utilize customer feedback.

Candidate Profile
Education:
- Bachelor's degree in film production, photography, communication, or a related field; or minimum of 5 years of experience in video and photo shoot production, with a strong portfolio of successful projects.
Experience:
- Proven experience in managing and leading production teams, with excellent leadership and mentorship skills.
- Comprehensive understanding of the end-to-end production process, including pre-production planning, on-set management, and post-production workflows.
- Knowledge of industry trends, emerging technologies, and best practices in video and photo production.
